What Questions Should I Ask a Virtual Assistant?

A resume tells you what a Virtual Assistant claims to do. An interview tells you how they’ll actually work. Use the questions below to vet skills, reliability, and independence before you hire.

Why the Interview Matters More Than the Resume

  • Skills can be listed on paper — reliability and independence can’t
  • The right questions reveal how a VA handles ambiguity, mistakes, and communication
  • A strong interview process prevents the #1 hiring mistake: choosing based on rate alone
  • 15–20 minutes of good questions can save you months of oversight later

Questions About Experience and Skills

  • What types of businesses or industries have you supported before?
  • Which tools and platforms are you already comfortable using?
  • Can you walk me through a task similar to what I’d need help with?
  • What’s a task you’re confident in, and one you’d need training on?
  • Do you specialize in specific areas (e.g., bookkeeping, social media, admin)?

Questions About Self-Reliance

This is the category that matters most — and the one most people skip.

  • Tell me about a time you completed a task with minimal instructions. What did you do?
  • Describe a situation where you caught your own mistake before anyone pointed it out.
  • How do you figure out next steps when you’re unsure what to do?
  • What kinds of questions do you typically ask a new client, and how often?
  • How do you handle a task when the instructions are incomplete?

What to listen for: Specific examples, not general statements. “I just figure it out” is a red flag — you want a process.

Questions About Communication

  • How do you prefer to communicate — email, chat, calls?
  • What’s your typical response time during working hours?
  • How do you keep clients updated on progress without being asked?
  • How do you flag a problem or delay before it becomes a bigger issue?
  • Can you give an example of a time you had to deliver bad news to a client?

Questions About Reliability and Work Habits

  • How do you manage multiple clients or tasks at once?
  • What does your typical workday or schedule look like?
  • How do you handle deadlines when unexpected issues come up?
  • Can you share references from past clients specifically about consistency?
  • Have you ever missed a deadline? What happened, and what did you learn?

Questions About Fit and Flexibility

  • What hours are you available, and do they overlap with mine?
  • How do you adapt to a new client’s workflow or tools?
  • Are you comfortable scaling hours up or down based on my business needs?
  • What’s your process for onboarding with a new client?
  • What would you need from me to do your best work?

Questions to Ask Yourself After the Interview

  • Did they answer with specific examples, or vague generalities?
  • Did they ask thoughtful questions back, showing genuine interest in the role?
  • Would I feel comfortable handing off a task with minimal instructions?
  • Did their communication style match what I need day-to-day?
  • Does their rate reflect the value and independence they demonstrated?

Red Flags During the Interview

  • Vague or rehearsed-sounding answers with no specific examples
  • Inability to describe a time they solved a problem independently
  • Overpromising on skills without evidence or portfolio
  • Inconsistent or slow communication during the hiring process itself
  • Unwillingness to do a small paid trial task before a long-term commitment

Final Thoughts

The right questions do more than fill an interview slot — they predict how much oversight you’ll need later. Focus less on what a VA says they can do, and more on how they’ve actually handled real situations. A short, well-structured interview now saves hours of management down the line.
